You can complain to Proxar Limited if you believe we have handled your personal information in a way that breaches data protection law. This includes concerns about collection, use, security, retention or the handling of a data-rights request.
How to contact us
- Email admin@proxar.co.uk. Using “Data protection complaint” in the subject can help us route it, but is not required.
- Write to Privacy enquiries, Proxar Limited, Unit 1, 205 London Road, Sevenoaks, Kent TN13 1DW.
- Telephone 0203 196 6566 and explain that you want to raise a privacy concern.
No special form or legal terminology is required. If you need a different format or communication adjustment, tell us. We will discuss a suitable way to receive your concern and respond.
Information that helps
Explain what happened, when it happened, which information or service is involved, and what outcome you would like. Include a way to contact you and any relevant reference. Please avoid sending passwords, unnecessary identity documents or other people’s sensitive information.
You may complain on someone else’s behalf. We may ask for proportionate evidence of your authority, or information needed to verify identity before discussing personal records. We will explain what is needed.
How we handle a complaint
We acknowledge receipt within 30 days. We investigate, make appropriate enquiries and keep you informed without undue delay. We then explain the outcome, the reasons and any action being taken. The acknowledgment period is not a reason to wait before beginning the investigation.
If we need clarification or more time to investigate, we will explain why and keep you updated. If your complaint also contains a request to access, correct or erase information, we handle that request under its own applicable timescale.
If you remain concerned
You can explain why you disagree and ask us to review our response. You also have the right to complain to the UK data protection regulator, the ICO, using its complaints service or by calling 0303 123 1113. Our process does not remove that right or any other remedy available under law.
Your complaint information
We use the information you provide to investigate, respond and meet our data protection obligations. We limit it to what is relevant, and may need to involve staff or suppliers connected with the issue. Our Privacy Policy explains retention, recipients and your rights.
For an operational incident affecting a customer service, use the support route in your agreement. For a suspected website vulnerability, see Security and Data Protection.
